Accommodation Application Guidelines

1.      These guidelines explain the rules and regulations that will be applied in order to process accommodation applications effectively and efficiently due to the limited number of blocked rooms available for the participants at the 10th Ramsar COP.

2.      The Republic of Korea, the host country of the 10th Ramsar COP, has already made a special lodging arrangement for the following groups of people whom both Korea and the Ramsar Secretariat agreed upon for this treatment: sponsored delegates, VIPs invited to the opening ceremony, special guest speakers, and any other personnel involved in the management of COP10. These guidelines refer to all other participants at COP10.

3.      General Procedure

A.     A person will be allowed to make a reservation on the website (www.ramsar2008.go.kr) only after pre-registering with the Secretariat and receiving a password. A reservation request can be also made to the Housing Bureau by e-mail or fax.

B.      Upon receiving the application, the Housing Bureau will immediately process it and will notify the applicant by e-mail or fax that a deposit of the one-night room rate will be made using the credit card information provided on the application. The application receipt will include the following:

•        The name of the reserved hotel or motel, the number of reserved rooms, the duration of stay, and the number of nights.
•        The required deposit.

Note: If an applicant requests more than one room, the Housing Bureau may adjust the number of rooms after consultation with the applicant.

C.      The deposit of the one-night room rate will not be charged to the credit card until one week after the date on which the application receipt is sent out. The applicant will receive a reservation confirmation along with the deposit receipt, either by e-mail or fax.

D.     If the applicant selects bank transfer as a deposit method, a temporary reservation will be made for two weeks, starting from the date on which the application is received. The application receipt, following the same format as stated in B., will be sent either by e-mail or fax. The applicant loses the temporary reservation if he or she fails to make the deposit in time. The applicant will be notified of the cancellation before it becomes effective.

E:     The Housing Agency has blocked rooms for the COP until the 28th of September 2008. After that time the blocked rooms will be released to the general public. All participants are therefore urged to make their reservations and deposits by 28 September 2008. One week before this deadline, all pre-registered participants will be informed by e-mail and through the Korean website that hotel reservation may be difficult since the blocked rooms will be released to the general public. If a person is not able to make the reservation due to some unavoidable circumstances, she or he may consult the Housing Bureau to reserve rooms temporarily.

F.      For applications received after 28 September 2008, should rooms still be available, a deposit will be immediately charged to the credit card upon receiving the application, and the applicant will receive both reservation confirmation and the deposit receipt at the same time. There will be no application receipt in this case, and the applicant will not be able to use bank transfer as a deposit method.
